Guest signatures and the libro de viajeros PDF
Collect a traveller signature on the registration form and download a formal guest register.
Turning signatures on for a property
The signature step lives in each property's SES settings, separate from the national SES data filing. It has three modes:
Optional (the default) shows a signature step on the registration form but never blocks the guest. Required means the form can't be finalised until every traveller aged 16 or over has signed, or been marked as signed on paper. Off hides the step entirely.
- 1Open the property and go to Edit → SES tab.
- 2Set "Traveller signature" to Optional, Required, or Off.
- 3Save the property.
A signature is not mandatory everywhere in Spain — the national obligation (RD 933/2021) is the data record itself. Some regional tourism regulations still require a signed registration document, and a signature is in any case useful evidence that the guest confirmed their own data. Check what your autonomous community requires.
How a guest signs
On the registration form, the signature step comes after the guest has filled in their details.
- 1The guest signs in the same window: draw with a finger or mouse, type their name, or upload an image of a signature.
- 2If the signature is being collected on a paper document instead, they tick "I'll sign on paper" — the record is still marked as signed, without an image.
- 3For in-person check-ins, the same signature step is available to you inside Keyio when you add or edit a guest on the rental page.
Keyio stores the signature image, the date and time, and the method alongside the guest's data.
Downloading the libro de viajeros
Keyio builds the guest register as a PDF on demand — for a single booking or across a date range.
- 1For one booking: on the rental's guest page, click "Guest book". The PDF has a cover with the establishment, holder, and reporting-authority details, then one entry per traveller with identity data, stay dates, the signature, and the SES submission reference where there is one.
- 2For a period: on the property's Rentals page, click "Guest book", pick a date range, and Keyio produces one aggregated PDF covering every stay that overlaps the range.
The PDF is generated on demand and never stored — you can re-download it at any time while the guest data is still on file (the statutory 3 years).
