Your whole long-term let, from tenant to tax return
Keyio runs every lease from start to finish: tenant screening, a lease with e-signature, rent ledger, deposit, late rent, tenant portal, expenses and IRPF with the residential-letting reduction already worked out. For individual landlords, companies and small managers in Spain.
Long-term and holiday lets in the same home
A lease during the academic year and holiday stays in summer, with SES.HOSPEDAJES guest registration for the latter. The tax report splits expenses and the reduction by each use.
Owner statements if you manage other people's homes
A PDF with your branding per owner and period, with income, expenses and result, that you review before sending. And each owner with their share in the tax report.
Your tenant's data, protected
The tenant's email, phone and ID number are stored encrypted, and a collaborator only sees what their access allows. Reminders for an energy certificate about to expire included.
Frequently asked questions
Does Keyio work out the IRPF reduction for letting a home?
Yes, in each home's tax report. You tick on the lease the conditions that apply and Keyio applies the Ley 12/2023 rate to the positive net return: 50 % in general, 60 % if the home was refurbished in the two previous years, 70 % for a first let in a stressed-market area to a tenant aged 18 to 35 or for social housing, and 90 % in a stressed-market area when the rent drops more than 5 % from the previous lease. Leases signed before 26 May 2023 keep 60 %. It is an estimate: check it with your tax adviser before filing.
Which expenses can I deduct, and how is depreciation worked out?
Keyio splits expenses the way the tax return asks: IBI, community fees, insurance, utilities, commissions, repairs and mortgage interest (these two capped: the report gives you the excess, which you can offset over the next four years). It depreciates 3 % a year of the building's value — not the land —, improvements with the building, and furniture and appliances on their own. If the home was empty part of the year, it prorates by the days let and works out the imputed income for the rest. If you let through a company, the report is for corporate tax (IS).
Does Keyio send payment reminders to my tenants on its own?
No. Keyio marks each month as due or late by itself, but a reminder goes out only when you press it, after seeing which emails it goes to. Nor does it move on its own from a friendly reminder to a formal demand: you decide every stage of the claim, and each one is logged with its date.
Can I charge a late fee?
Yes, if the lease provides for it. You set on the home a percentage of the rent or a fixed amount and a grace period; when a month goes past it, Keyio suggests the fee and nothing is added until you confirm it. A fee that is not in the lease may be considered unfair.
How do I keep track of the deposit?
Apart from the rent: you record when and how you received it and, when the lease ends, what you return and, if you keep part of it, why. From 14 days before the lease ends Keyio reminds you to return it until the balance is zero. For a home the legal deposit is one month's rent (LAU, art. 36); most regions require you to lodge it with a regional body, and it is returned within a month of the keys being handed back.
Does it update the rent with the CPI automatically?
It does not look the index up for you: you enter the percentage or amount your lease and the official index that applies to it call for, and Keyio uses the new rent in the rent ledger from that date, leaving past months untouched. If the update comes with a renewal, the renewal document is signed and, once everyone has signed, the new rent and end date apply by themselves.
Is the e-signature on leases valid?
It is a simple electronic signature with a one-time code sent to each signer's email and a certificate page recording who signed, when, from which IP and how. The Spanish Civil Code (art. 1278) upholds contracts whatever form the consent takes, and the EU eIDAS regulation recognises simple electronic signatures. It is not an advanced or qualified signature. The tenant signs from their phone, with no account or app.
Does it work for seasonal or mid-term lets?
Yes: it is run as a long-term rental, with a lease, rent tracking and a deposit. On the lease you mark that it is not the tenant's permanent home (work, studies, seasonal) and the tax report does not apply the residential-letting reduction, which the law keeps for permanent homes.
Can the same home be a long-term and a holiday let?
Yes. A home can have a long-term lease during the academic year and holiday stays in summer, with guest registration included for the latter. The tax report applies the reduction only to the income of the residential lease and prorates expenses by the days of each use. You can also let by room.
Which plan do I need?
Any plan except Cumplimiento, which is for guest registration only. Leases, rent tracking, deposits, the tenant portal, expenses and the tax report are on every other plan; they differ by number of homes. You can try it free for 30 days with no card.
