Auto-sending the registration link before check-in

A per-property setting that sends the guest self-registration link on a schedule, with no Guest Portal required.

What it does

Rather than sending the guest self-registration link by hand from each booking, a property can be set to send it automatically a chosen number of days before check-in — by email, WhatsApp, or both. This is a different automation from "The auto-send toggle" (sesAutoSend) above: this one sends the link itself, ahead of time, so the guest has time to fill it in before arriving; sesAutoSend submits the data to SES afterwards, once the guest has already finished the form. The two can be used together or independently.

This setting is available on every Keyio plan, including Cumplimiento — it doesn't require the Guest Portal. It exists specifically so a Cumplimiento-tier property (which has no Guest Portal to fall back on) or any property whose owner simply doesn't want the full Portal can still automate this one compliance step.

  1. 1Open the property → Edit → SES tab.
  2. 2Turn on "Auto-send the registration link".
  3. 3Set how many days before check-in it should go out (7 by default, so the guest has time to fill it in), and pick email, WhatsApp, or both.

On plans with the Guest Portal: if the property's Guest Portal already auto-sends, you don't need this setting — the portal includes the registration link. Turning both on means the guest gets two messages with the same link.

The manual "Send" buttons on each booking stay available regardless of this setting. Once the link has been sent once — manually or automatically — it is never sent again for that booking.

If a booking has no guest email or phone on file by the time the send window opens, Keyio can't send anything — it can't invent a contact. Keyio surfaces this in Action Required as "Couldn't auto-send the registration link" so you can add a contact and send manually.
