Designing your invoice
Give each issuer its own invoice: start from a ready-made design, change colours, fonts, texts and layout, and publish it. Keyio checks that no legally required field is missing.
How it works
Every issuer has its own invoice design, so two companies in the same account can have two different invoices. Until you publish a design, the issuer keeps using Keyio's standard invoice — nothing changes unless you want it to.
You work on a draft that saves itself as you go. Nothing reaches your invoices until you press Publish; from then on, new invoices of that issuer use the published design. Invoices already issued keep the design they were issued with.
- 1Go to Invoicing → Issuers and click Design invoice on the issuer's card.
- 2Click Change template and pick a starting point: Classic, Modern, Minimal or Executive. Each one shows a real preview.
- 3Adjust what you want (see the next section). Switch to Preview with data at any time to see the real PDF.
- 4Click Publish, check the review screen, and confirm.
The designer needs a computer or a tablet in landscape; it does not open on a phone.
What you can change
With nothing selected, the right-hand panel holds the general style: the two fonts, the base size and the colour palette. If the issuer has a logo, Suggest colours from the logo proposes a primary and an accent colour taken from it.
Click a block on the page to select it. Drag it to move it, pull its handles to resize it, or type exact millimetres in the panel. Double-click a text block to edit its content: you write normal text and insert variables (issuer name, invoice number, total…) that Keyio fills in on each invoice. A line can be set to hide itself when its data is empty — for example the IBAN line of an issuer that has none.
From Add section you can add free text, an image, a box, a divider, a watermark, a background image, a signature or stamp, and a payment QR that the customer's banking app reads to fill in the transfer (it uses the issuer's IBAN).
Undo and redo work as usual (Ctrl+Z), and History lists every version you have published. Restoring one loads it as a draft for you to review and publish again.
The logo, IBAN, payment terms and footer note come from the issuer's details, not from the design. Change them in Invoicing → Issuers → Edit issuer and every invoice picks them up.
What Keyio checks before publishing
A design cannot produce an incomplete invoice. Before publishing, Keyio checks that it still shows everything Spanish invoicing rules require: number and dates, issuer and recipient details, the description and tax rate of each line, the taxable base, VAT and total, the legal mention when a let is VAT-exempt, the reference to the original invoice on a corrective one, and the tax QR block.
If something is missing, the review screen says exactly what and Publish stays disabled until you fix it. Warnings about small text or low contrast are advice only — they do not block.
The line table, the totals and the QR block cannot be deleted or duplicated; you can move, resize and restyle them.
Blocks that do not apply to an invoice are left out automatically: a simplified invoice has no recipient box, and the tourist tax or IRPF rows only appear when there is an amount.
