Letting room by room
Let each room of a home on its own — short stays, long stays or both — with one calendar line, one iCal link and its own double-booking check per room.
Set up the rooms
A home let as a whole needs nothing of this: Keyio keeps working exactly as before. Turn it on only when you let the rooms separately.
- 1Open the property, Edit → Settings, and turn on "Let room by room".
- 2Name each room (Blue room, Room 1…) and, if you like, how many guests it takes and whether it has a private bathroom.
- 3A room that has stays can't be deleted — archive it and its stays keep their room.
Each stay takes its rooms
When you create a stay you choose its rooms: one, several, or the whole home. Two stays are only a double booking when they share a room — a whole-home stay shares every room.
Bookings imported from a calendar take the room of that calendar (see below). You can change the room of any stay from its form.
A stay with no room is not checked for double bookings: Keyio warns you in Action required and shows it on a "No room" line of the calendar until you assign it.
Airbnb, Booking and other calendars
Import: open each connected calendar on the Calendar tab and pick the room its listing sells. If the same room is on Airbnb and on Booking, give both calendars that room — that is exactly the double booking Keyio then catches.
Export: "Share my calendar" gives one iCal link per room. Paste each room's link into that room's listing, so a stay in one room does not block the others. The "Whole home" link is for a listing of the entire home: it is blocked as soon as any room is taken.
If you already pasted the whole-home link into each room's listing, replace it with that room's link — otherwise one booking closes every room.
The calendar by room
The property calendar opens "By room": one line per room, with whole-home stays on every line. Click or drag on a room's free days to book that room. "Month" switches back to the usual grid. The portfolio calendar (Calendar in the menu) shows the rooms under their home too.
A price for each room
With the pricing calendar on, each room can have its own nightly price (property settings, next to its name). The home's seasons, manual prices and fixed weekend surcharge then apply to each room in proportion: if the home is €200 and the room €50, a €300 August season makes that room €75. Multipliers, blocked dates and stay rules apply as they are.
The quote tool (Pricing tab) asks which room; a quote saved for a room books that room when you turn it into a booking. A room with no price of its own is quoted at the home's price.
Guests, cleaning and paperwork
Guest register (SES, Ertzaintza): the stay is declared with the number of rooms it takes — one for a single room, the home's bedrooms for the whole home. The establishment is still the home.
Guest portal: the guest sees their room and your note for it ("third door on the left, the blue key"). Write it next to the room in the property settings.
Cleaning: turnovers are worked out room by room, so the alert and the automatic checklist say which room to clean. A checklist schedule can be limited to some rooms (for example, the common areas on a fixed weekly slot and each room after its checkout).
Contracts: templates can use {{roomName}}, {{roomSurfaceArea}} and {{roomPrivateBathroom}} for a room lease. Invoices name the room let ("Accommodation at Blue room — Villa Sol").
Long-term candidates can say which room they are interested in; it is carried to the lease when you create it.
Occupancy and reports by room
A home let room by room counts its occupancy in room-nights: a 3-room home has 3 × 30 nights to let in a 30-night month, and a stay holding two rooms fills two of them. The calendar, the dashboard and Reports all count this way, so the average nightly rate (ADR) and RevPAR are per room.
Reports › Performance of the property adds a "By room" table: each room's nights, its share of the income (a stay's price split equally among its rooms, a whole-home stay among all of them), occupancy and average nightly rate. The dashboard card says how many rooms are taken today.
Tax figures do not change: the tax report is per home, as the law requires.
API and Claude
The public API and the Claude connector handle rooms too: the property's `rooms`, the `roomIds` of each stay (`["whole"]` for the whole home), the `roomId` of each calendar feed, and `list_rentals` filtered by room.
