Tracking payments for short-term bookings

Advance + balance by default, or a fully custom payment plan with your own milestones.

Advance and balance by default

A short-term booking doesn't have a monthly rent, so Keyio tracks money owed against the total booking amount instead. By default that's split into two rows — an advance payment and the remaining balance, pre-filled from what you entered on the rental — and each is recorded the same way as a long-term ledger row: it becomes paid once the recorded amount matches, or partial if it's less.

Building a custom payment plan

If a simple advance-and-balance split doesn't fit — a longer stay billed in three or four parts, for example — replace it with your own plan. Click "Edit payment plan" on the booking's payments and add as many named milestones as you need, each with its own label, amount, and due date.

Editing an existing plan preserves any money already recorded against a milestone you keep; removing one that already has money recorded against it asks you to confirm first, since that amount needs to land somewhere else in the plan.

Turning payment tracking off

Payment tracking is a property-level toggle, on by default, covering every long- and short-term rental under that property. Turn it off for an owner who tracks money outside Keyio and only wants the rest (calendar, guest registration, reports) — the Payments tab disappears for that property's rentals, and no existing data is deleted.
