Sending maintenance checklists to cleaners and contractors
Build a reusable checklist, send it to one or more people outside Keyio, and track each one to completion — with photo evidence and automatic scheduling.
Templates and contacts
From a property's Maintenance tab, open the Checklists sub-tab. Create a reusable template — a name plus a list of items (e.g. "check the fridge is empty") — and optionally flag any item as requiring photo evidence. Separately, add the people who will receive checklists (a cleaner, a contractor) to your account-level Contacts directory, with their name and email. Templates and contacts are shared across all your properties, so you only set them up once.
Sending and completing a checklist
Click "Send" on a template and pick one or more contacts — each gets their own email with their own link, no Keyio account required. They open it on their phone, check items off, leave a comment per item (you can dictate instead of typing, on supported browsers), attach a photo where evidence is requested, and optionally add one overall note and photos for anything the checklist didn't anticipate. You get an in-app notification the moment it's sent, and another the moment each person finishes. Every send shows up separately in that property's send history, where you can review the full checklist, including all photos. The email you receive on completion lists every item — checked or not, with its comment — plus the overall note.
Sending automatically
Instead of sending manually every time, create a schedule: send a checklist to one or more contacts a set number of minutes after checkout (a cleaning window), a set number of hours before or after a rental's check-in or check-out, or on a fixed recurring day and time each week or month. A schedule keeps firing for every matching turnover/rental going forward until you deactivate or delete it.
